The CRM Bridge: Lead Capture & Dynamics Automation
How I killed manual data entry by connecting Gravity Forms to Microsoft Dynamics CRM.
The Bottleneck
At RCCS, our marketing-to-sales handoff was broken. We were using clunky, dated templates that sent leads into a black hole. Our admin staff had to manually re-type every single form submission into Microsoft Dynamics CRM. It was slow and it meant our sales team was getting leads days too late.
The Hack
I didn’t want a “no-code” band-aid that would break the first time WordPress updated. I needed to build a real data pipeline.
The API Handshake
I used Zapier to connect the dots, but I avoided the standard “out of the box” settings. Instead, I wrote custom code inside Zapier to handle the handshake between the Gravity Forms API and the Dynamics API. This let us:
- Clean the data before it ever hit the CRM database.
- Route leads instantly to the right rep based on the specific services the prospect selected.
Performance First
I ditched the bloated website templates and hard-coded the landing pages from scratch. I wanted a lean, fast path to the “submit” button.
The Result
Once the pipeline was live, the friction vanished:
- Volume: Lead capture jumped by 55% because the pages worked on mobile.
- Speed: We cut the administrative response time by 40%.
- Trust: Sales finally had accurate data waiting for them the second a lead hit the site.
